More Advice for Attorneys Leaving a Voice Message

Yesterday, I posted VoiceMessages Can Win the Law Firm Business or Lose it, What Makes the Difference? The post included good advice when leaving a voice message on a prospect’s or client’s phone.  One reader passed on three additional tips that deserve your attention because they achieve results.

 

  1. When leaving a message for a prospective client, work in a “reference name” during the first eight seconds of the call.  For example “We met at the Collins open house last week…”; “I believe you know Jim Brown…”; “I have been working with First American Bank and they indicated…”; “Colonel Mustard suggested I call you….”; “Ms Scarlet reminded me of your interest…”; “I am having lunch next week with Mr Green…”; etc.

  2. Always state your name and phone number twice and the second time do it very slowly as in “You can reach me, Tom Collins, at 877/377-3740.  Once again that is Tom Collins, C-o-l-l-i-n-s, at area code 8-7-7 and phone number 3-7-7—3-7-4-0.”  Nothing is more frustrating than having to replay a message to complete writing down the caller’s name and phone number because the caller stated both too fast and failed to spell their name.

  3. While you always want to leave your name and number, it is best to set up your opportunity to call again as in “I will call again on Thursday at 2:00pm to discuss this subject with you.”  This approach is not foolproof; however, you will find that doing so often creates a sense of obligation for the person you have called.  The caller is likely to take your subsequent call on schedule or return your original call earlier if they do not expect to be available.
